Booking a residence-card appointment and residence-card pickup — the voivodeship office in every region

Booking a residence-card appointment and picking up your residence card (including the CUKR card) at the voivodeship office works differently in each of Poland’s 16 voivodeships. Some offices take bookings through an online system, some by e-mail, a few only by phone; in Białystok and Słupsk card pickup needs no booking at all, and in Szczecin and Gorzów it’s the office that contacts you after receiving your application. Below we explain the five booking channels and show which group your region belongs to — separately for submitting the application and for residence-card pickup.

Five ways to book a residence-card appointment

Online system

You book a slot in an external system (e.g. bezkolejki.eu or kolejka.gdansk.uw.gov.pl). The most common channel — this is how Lower Silesia, Kuyavia-Pomerania, Lublin voivodeship (the Lublin office), Subcarpathia, Pomerania (Gdańsk) and Greater Poland (Poznań) work, among others. Note: in Lower Silesia it’s a first-come-first-served queue — the date arrives by e-mail; you don’t pick it from a calendar.

E-mail

You send a message with your details, and the office replies with a date. This is how you book in Lesser Poland (Kraków, Nowy Sącz) and at the Greater Poland branch offices (Kalisz, Konin, Leszno, Piła). In Olsztyn you also book the application appointment by e-mail.

Phone

You call during office hours and agree on a date. This is how submitting works in the Łódź voivodeship (735 956 367, bookings one week ahead) and at the Lublin voivodeship branch offices in Chełm and Zamość. In Katowice you also book the application appointment by phone.

Walk-in

No booking at all — you come in person and wait in line. This is how you submit in Podlaskie (Białystok, desk 5), and booking-free card pickup works in Słupsk (Mon–Fri 12:00–14:45, room 416) and Olsztyn (ticket from the queue machine), among others.

The office contacts you

The reverse flow: you submit the application by post or at the front office, and the office contacts you to set a date. This is how West Pomerania works (Szczecin — online booking suspended since 18.10.2023) and Lubusz (Gorzów Wielkopolski).

CUKR card pickup — you have 60 days

For the CUKR card you submit the application ONLY online, through the MOS portal (mos.cudzoziemcy.gov.pl) — there is no appointment for submitting, and the voivodeship-office visit is only for collecting the finished card. Once the office notifies you by SMS that the card is ready, you have 60 days to collect it. If you don’t collect the card within that window, you won’t obtain the temporary residence permit and the card will be invalidated — a missed pickup wipes out the whole legalization (gov.pl / UdSC, CUKR procedure). You pay the fees (100 zł for issuing the card + 340 zł stamp duty = 440 zł) together with the application; nothing is due at pickup. CUKR applications can be filed until 4 March 2027. Our estimate is that pickup queues may grow as that deadline approaches — that’s our assessment, not an official office forecast — so keep an eye on the 60-day window. Remember: CUKR is a residence card issued under a temporary residence permit; the permit (the decision) and the card (the document) are two different things, and the CUKR track is not the same as a standard temporary-residence application.

More and more applications are filed online through MOS

Application filing is gradually moving to the nationwide MOS portal (mos.cudzoziemcy.gov.pl), and local booking systems increasingly handle only fingerprinting, card pickup or summonses. In Podlaskie you file the residence-card application electronically through MOS 2, and in Kielce, Lublin, Olsztyn, Szczecin and the Słupsk branch office you prepare the application in MOS. Before you book an appointment to submit, check whether your case is now filed online through MOS — if it is, the office visit is only for collecting the finished card.

How do residence-card pickup and CUKR card collection work?

Residence-card pickup is usually a separate step from booking the application appointment — you collect a CUKR card the same way as any other residence card. The pickup procedure differs between offices: in Gdańsk card pickup requires booking in advance in the kolejka.gdansk.uw.gov.pl system, in Słupsk no booking is needed (Mon–Fri 12:00–14:45, room 416), and in Łódź, from 9 March 2026, pickup runs exclusively through the on-site ticket machine — no phone call and no booking. Mind the deadline: after the SMS that your card is ready, you have limited time to collect it — for the CUKR card it’s 60 days, and missing that window can wipe out the whole legalization (gov.pl / UdSC).
