Rules for using Dopomo
In plain language, we describe what Dopomo is, what you can expect from us, and the conditions under which you use the assistant.
General provisions
These Terms set out the rules for using the Dopomo service and assistant, available through the website and the app. By using Dopomo, you accept these Terms. The service is provided by RunProven AI Sp. z o.o., based in Wrocław (ul. Leszczyńskiego 4/25, 50-078 Wrocław), NIP: 8971972885, the operator of the Dopomo brand. These Terms constitute the terms of service for services provided by electronic means within the meaning of Art. 8 of the Polish Act of 18 July 2002 on Providing Services by Electronic Means.
The Service is the Dopomo website and app together with the AI assistant and related tools (e.g. the fee calculator and the eligibility check). A User is a person who uses the Service. The Service’s core features are available free of charge.
Where we offer paid services, their scope and rules are set out in a separate terms document, which you accept before purchase.
These Terms are complemented by our Privacy Policy (available at /en/privacy), which explains how we process your personal data, and our Cookie Policy (available at /en/cookies), which explains which cookies we use. We encourage you to read both documents.
What Dopomo is
Dopomo is an independent AI assistant that helps foreigners navigate Polish residence and legalisation procedures — explaining the steps, deadlines and fees in your language. We build our knowledge base from official government sources and official forms, and answers carry links to those sources — you can verify every piece of information where it comes from. Answers are generated by an artificial-intelligence model.
An AI assistant, for information only
You are talking to an AI-based assistant, not a human. We tell you this plainly, in line with Art. 50 of the EU AI Act.
Information from Dopomo is based on Polish regulations, official government sources, the practice of voivodeship offices and case law, and answers carry links to their sources. It is supportive and educational in nature — it does not constitute legal advice or a binding interpretation by an authority. The final decision in your case is made by the competent authority. You can always confirm key details (e.g. deadlines, account numbers) at the source we link to.
Dopomo’s scope is residence and legalisation of stay (first and foremost CUKR — foreigners from Ukraine). Dopomo does not handle asylum or refugee claims. For those, please turn to UNHCR Poland and the Office for Foreigners (UdSC).
Account and registration
You can use the assistant’s basic features without an account. A free account is created by entering your email address and clicking the magic link we send to it — you do not set a password. On your first login we ask for your name and citizenship.
An account gives you concrete benefits:
- ·a history of your conversations with the assistant — you can return to earlier answers at any time,
- ·higher message limits than without an account,
- ·saved drafts of paper applications (the application creator) — you can return to them on any device.
You are responsible for keeping access to your email inbox, because it is the key to logging in.
Where this feature is available, you can also turn on passkey sign-in — for example by unlocking your phone, Face ID or a fingerprint. Where available, it is an addition to magic-link sign-in, not a replacement: the email link always remains your way to recover access. If you turn on a passkey, you are responsible for securing the device it is saved on (screen lock, no third-party access); you can remove a lost or unneeded passkey in your account settings.
Rules of use
Dopomo is intended for adults. By using the service you confirm that you are at least 18 years old (or have reached the age of majority in your country of residence). The service is not directed at children — if you are under 18, please do not create an account or use the service.
By using Dopomo, you undertake that:
- ·you provide truthful and complete information for the diagnosis of your case,
- ·you use your account personally and do not share it with others,
- ·you do not use the service for unlawful activities,
- ·you do not bulk-copy the service’s content (e.g. by automated means) or offer the service to third parties as your own,
- ·you do not attempt to disrupt the operation of the service or gain unauthorised access,
- ·you do not use the assistant in place of legal advice in matters that require it.
Use and fees
The core platform — the assistant (chat), the pathfinder and the information tools — is free to use.
The paper-application creator is also free — a tool that helps you fill in official government forms (currently the residence-card issue/replacement application; we may add further forms over time) and download a print-ready PDF. The creator requires a free account — we store your application draft on your account in encrypted form. The creator does not submit the application for you.
Dopomo may separately offer paid services (e.g. CUKR case preparation); the rules for such services are set out in a separate Paid Services Terms (Regulamin usług płatnych), which you accept when you purchase that service. You always see the price and scope of the service before you pay.
Dopomo may also offer paid access passes (Plus and Pro) that increase your chat message limit; the rules for such passes are set out in a separate Paid Plan Passes Terms (Regulamin pakietów płatnych), which you accept when you purchase a pass.
A separate set of terms also governs the paid “Temporary residence and work” (TRC) case-preparation service — you accept that TRC Service Terms (Regulamin usługi TRC) when you purchase the service.
Official fees (e.g. stamp duty, card fee) are paid directly to the competent authority and are not part of Dopomo.
Liability
Dopomo provides an information service with the utmost diligence (a best-efforts obligation): we keep information current and correct and base it on official sources we link to. However, regulations and the practice of authorities may change, and decisions in residence cases are made exclusively by the competent authorities — Dopomo is not responsible for the content or timing of those decisions. The same best-efforts standard applies to the free tools (e.g. the paper-application creator): the tool pre-fills the document from the data you provided — you check its content before signing and submit it in your own name.
We are liable to you as provided by law. Nothing in these Terms excludes or limits our liability for intentional misconduct, gross negligence or personal injury — or limits your rights under mandatory provisions, including consumer law. It is always worth confirming key details (e.g. account numbers, deadlines) on the website of the competent authority our links lead to.
Intellectual property
The service, its appearance, content and software belong to Dopomo and are protected by law. You receive a non-exclusive, non-transferable licence to use them for your own purposes related to your case; the licence does not cover copying the service or making its content commercially available to third parties. The content you create in a conversation (e.g. your questions and data) remains yours — we process it only to the extent needed to provide the service, in line with the Privacy Policy.
Complaints
If something did not work the way it should — we want to know. You can file a complaint by writing to pomoc@dopomo.pl, in Polish, Ukrainian, Russian or English.
Please include your account email address, a description of the problem and — if possible — the date it occurred; this speeds up the review. Filing a complaint is free of charge. We will reply within 14 days to the address from which we received it.
Complaints about paid services should go to the address given in the Paid Services Terms (payments@dopomo.pl) — we handle them within the same 14-day period.
Termination
You can stop using Dopomo at any time. You can delete your account yourself in Settings (Privacy & Data) or by writing to privacy@dopomo.pl. After you request deletion we deactivate the account immediately and, after a 14-day grace period, permanently erase all related data; during those 14 days you can restore the account by logging in again. We may suspend or close an account only for a valid, documented reason — where it grossly or persistently violates these Terms. In that case we will state the reason and, where the nature of the violation allows, warn you first and give you the chance to stop it. Closing an account does not limit your statutory rights.
Changes, governing law and language
We may change these Terms only for important reasons: changes in the law or its interpretation, changes to or development of the service’s features, security considerations, or changes to our registration details. We will announce changes in advance in the app or by email, stating the effective date. If you do not accept the changes, you can stop using the service and delete your account at any time; using the service after the effective date means you accept the new version.
Matters not regulated here are governed by Polish law. This choice of Polish law does not deprive you of the protection afforded by the mandatory consumer-protection rules of the country of your habitual residence — those rules continue to apply. Disputes are heard by the ordinary courts determined under the law; as a consumer you keep your statutory court venue.
As a consumer, you may also use free out-of-court complaint and redress procedures: the help of a municipal or district consumer ombudsman (rzecznik konsumentów), the permanent arbitration courts at the Trade Inspection (Inspekcja Handlowa), and the information provided by the Polish Office of Competition and Consumer Protection (UOKiK, uokik.gov.pl).
We prepare these Terms in Polish and translate them with equal care into Ukrainian, Russian and English, so everyone can read them in their own language. The Polish version is legally binding — in case of any discrepancy between versions, its wording prevails. You can send us complaints and questions in any of these languages.
